Bay Shore, NY We are currently seeking a detail-oriented and proactive individual to join our team as an Administrative Assistant.
As an Administrative Assistant, you will provide vital support to our organization by efficiently handling administrative tasks and ensuring the smooth functioning of daily operations.
Your exceptional organizational and multitasking skills, coupled with your strong communication abilities, will be key in maintaining an effective office environment.
Responsibilities:
Assist with day-to-day administrative tasks, including managing calendars, scheduling appointments, and coordinating meetings.
Handle incoming calls, emails, and correspondence, providing prompt and professional responses.
Maintain organized filing systems and databases, ensuring accuracy and easy retrieval of information.
Prepare and edit documents, reports, presentations, and other materials as required.
Coordinate travel arrangements, accommodations, and itineraries for team members.
Monitor office supplies, inventory, and equipment, initiating orders when necessary.
Assist in coordinating and organizing company events, meetings, and conferences.
Support HR activities, including maintaining employee records, assisting with onboarding, and organizing training sessions.
Maintain all insurance policies, vehicle registrations, and trade licenses Collaborate with team members to ensure efficient workflow and effective communication.
Uphold strict confidentiality and handle sensitive information with discretion.
Requirements:
Proven experience as an Administrative Assistant or in a similar role.
Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
Strong written and verbal communication skills.
Proficiency in using office software and tools (e.
g.
, Microsoft Office Suite, Google Suite, scheduling software).
Attention to detail and accuracy in completing tasks.
Ability to work independently and collaboratively in a team environment.
Problem-solving and decision-making abilities.
